Privacy Policy
This Privacy Policy explains how ContextOCR collects, uses, shares, and protects information when you use our website, API, preview tools, and related services.
Effective date: May 31, 2026
1. Who This Policy Applies To
This policy applies to visitors, account holders, API users, and anyone who contacts us through ContextOCR. If you use the service on behalf of an organization, you represent that you have authority to accept this policy for that organization.
2. Information We Collect
Account and profile information
When you create or manage an account, we may collect your name, email address, profile details, and onboarding status.
Authentication and session data
We collect information needed to sign you in, maintain sessions, verify identity, and protect accounts from abuse. This may include sign-in method, session identifiers, and security-related event data.
Uploaded files and OCR processing data
When you use the API or preview tools, we receive the files you submit, associated metadata such as filenames and MIME types, optional request IDs, and the OCR output needed to return results to you.
Uploaded files and OCR results are processed to fulfill your request and are not stored after processing completes, except where limited operational records are needed for security, billing, abuse prevention, or support.
Usage and billing information
We collect records related to OCR usage, such as page counts, charged credits, remaining balances, request IDs, API key identifiers, and purchase history needed to operate prepaid billing.
Contact and support information
If you contact us, we collect the information you provide, such as your email address, message content, and any details needed to respond.
Technical and security information
We automatically collect information such as IP address, browser or client type, device information, timestamps, request logs, error logs, and anti-abuse signals when you use the website or API.
3. How We Use Information
We use information to:
- Provide, operate, and maintain ContextOCR.
- Authenticate users, manage sessions, and secure accounts and API keys.
- Process OCR requests and return markdown output.
- Measure usage, apply credits, and manage billing.
- Detect, prevent, and respond to abuse, fraud, and security incidents.
- Communicate with you about the service, updates, and support requests.
- Improve reliability, performance, and product experience.
- Comply with legal obligations and enforce our Terms of Service.
4. Legal Bases for Processing
Where applicable law requires a legal basis, we process personal information to perform our contract with you, pursue legitimate interests such as securing and improving the service, comply with legal obligations, and, where required, based on your consent.
5. How We Share Information
We do not sell your personal information. We may share information with:
- Service providers that help us operate ContextOCR, such as hosting, authentication, payment processing, email delivery, storage, abuse prevention, analytics, and OCR infrastructure partners.
- Professional advisers or authorities when required by law, legal process, or to protect rights, safety, and security.
- A successor entity in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate protections.
Service providers are permitted to process information only as needed to provide services to us and subject to appropriate contractual safeguards.
7. Data Retention
We retain information only for as long as needed to provide the service and for legitimate business purposes such as billing reconciliation, security monitoring, dispute resolution, and legal compliance.
Account and billing records are kept while your account is active and for a reasonable period afterward. Uploaded files and OCR results are not retained after processing except where limited operational records are required. Logs and security records may be retained for shorter or longer periods depending on operational needs and legal requirements.
Confirmed account deletion removes active account data, API keys, usage and credit records. If your account is linked to a billing provider customer, we request deletion and anonymization of that customer where supported by the billing provider. Historic payment, invoice, tax, dispute, fraud prevention, and accounting records may still be retained by billing providers when required for legitimate business or legal reasons.
8. Security
We use administrative, technical, and organizational measures designed to protect information, including access controls, encrypted transport where supported, hashed API key storage, and monitoring for abuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your Choices and Rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information, or to receive a portable copy of information you provided.
You can update profile details in your account, revoke API keys, and request account deletion where the product supports it. Privacy-related requests can be sent through our contact page.
10. International Processing
ContextOCR may process information in countries other than the one where you live. When we transfer information internationally, we use appropriate safeguards where required by applicable law.
11. Children
ContextOCR is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us so we can take appropriate action.
12. Third-Party Links and Services
Our website may link to third-party sites or services that we do not control. Their privacy practices are governed by their own policies, not this one.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date above and post the updated policy on this page. Material changes may also be communicated through the product or by email where appropriate.
14. Contact
Privacy questions and requests can be sent through our contact page.
